Sign Up for email link on our website (and how to get subscribers)

Do you have the ability to have a "sign up" for our email list link on our website? Or does an administrator have to type in all email addresses? It would be a nice feature (it has worked well for us in the past)

  • Your account is set up to allow potential members to apply for membership and start receiving emails. Each group in your account will have its own, unique membership application link, that can be publicized on your website, forwarded in your emails or printed and distributed on a hardcopy flyer to get people to subscribe to your emails.

    Note: If you're having people sign up on the same application page, be sure no one is signed in to their account when applicants are signing up.
    Here are the steps to set up the link and process your applicants:

    Publish the membership application link
    Your account's main group and sub-groups all have a unique membership application link. (Please contact us at support@groupvine.com to customize your page if you'd like your potential members to apply on only one page to sign up to receive emails from multiple groups and/or lists, or to collect additional information.)  To get the correct link, navigate to the Applications tab of the group that wants to gather members, i.e. if you'd like to get applicants for a sub-group, then navigate to that sub-group's Applications tab, and publish the blue application link on your website, forward it in your emails or include it on a hardcopy paper flyer. For your main group, the application link will look something like

               https://www.groupvine.com/myacct/@@apply

    Note: Remember the link will be different depending on which group is gathering subscriber information.

    Admit (or deny) applicants to your group
    Administrators will receive daily notifications of new applicants from the previous day and weekly notifications of applicants who are still pending. Group Administrators will receive notifications for pending applicants in the group(s) they administer. Click the button in the email notification and sign in to go directly to the appropriate Applications tab.

    If you're already signed in, you can click the Manage Membership, lists, sub-groups & permissions link on your account's home page or navigate to the sub-group's home page and click its Manage Membership, lists, & permissions link. Then click the Applications tab, where you'll see the number of pending applicants in red.

    Click the checkboxes of applicants, and click either Admit Selected Users or Deny Selected Users (remember, since the link is public, anyone can sign up!), to admit or deny membership to those applicants.


    A few notes...
    If you need to collect more information on the application page, for example, so parents can sign up for classroom group emails or customers can subscribe to an areas-of-interest group emails, or you'd like to collect additional information, then contact Your Friends at GroupVine at support@groupvine.com to customize your application page.

    Also, there are two ways applicants can show up on the Applications tab:

    • They signed up using the application form, or

    • An applicant applied for membership to a sub-group or a Group Administrator added a new member to their group, and now the applicant is waiting to be admitted to the main group.


    If the main account Administrator admits members to a sub-group, then the members will automatically be admitted into the main group. If a Group Administrator admits members to their sub-group, then main account Administrator will need to also admit them into the main group.

    Its not allowing me to enter a name, or email address on the subscribe screen. I'm trying to test this out before I put the link on our PTO website. Are there any problems?

    I checked into your account and it looks like you've set if all up for subscriptions. Once you're set up, your manage registration page at www.groupvine.com/your-pex-account/@@manageRegistration has 3 tabs on the left, Registration, Admissions and Set up.

    If you click on the Registration tab, you'll see an example of what the page will look like to those who subscribe. This isn't the "live" page parents will use to subscribe, and I was wondering if this is where you were doing your testing because it was behaving for me the same way as you described it.

    To test the "live" page, you can click the Set up tab, and there's a blue link that says https://www.groupvine.com/your-pex-account/@@registration, which is the link you would add to, say, your website for parents to click on. You can copy this URL into your browser and get to the page like parents would to test things out.

    I apologize for the confusion... I hope this answers your question.

  • I'm trying to set this up now. I see the form (although the data entry boxes are spread far apart on the page). When I complete the entry, it says Thank you....
    but then I see the data I entered.

    When I go to manage membership, I do not see the entry completed.

    1. Does it take a while to load the data?
    2. Are you going to reformat the form so the data entry lines are closer?
    3. I am using Firefox - does that change the way I see the entry form?

    We also think the form elements on that page are far apart and will look into getting that changed. Also, I think it would be good if we cleared the forms after the data is entered.

    The data should be there right away. You have to export the CSV file first (on the Admissions tab on the @@manageRegistration page) and then go back into your PEX account to upload it into your membership. (Look for the "Upload member file" tab under "Manage membership...") Did you try that? Let me know if you need help.

    Yes - Firefox is just fine, and I will make a few recommendations to our team.

    BTW, there's some super cool registration improvements in the works right now that will be available before the next school year starts. When they are available we'll make sure to update this support thread so that you are made aware of them.

  • Okay, I exported the CSV file - but it only has the existing emails that I entered. It did not include the name that I typed in on the form on @@registration page. What is the name of the file I should export? It automatically exported a file named "member-export-parkway-elementary-2_29Jun11-1223.csv".

    I imported this file ... same names, but not the one I added on the form. I exported again and opened the file in Excel and it does not show the new name I added on the form.

    Am I doing something wrong?

    Hi Rita,

    Sounds like you are exporting and importing from the same area (Manage Membership...), so that is why the list looks the same. You have to export first from the Registration page and then import from the Manage Membership page.

    In other words:

    1) You have to export the names that were created from the Registration Form e.g.

    www.groupvine.com/your-pex-account /@@manageRegistration

    (Look for the "Admissions tab" to find the Export button)

    2) When that is done, get out of that section and go into your PEX account, where you will then import them into your membership from the "Upload member file" tab under "Manage membership" e.g. www.groupvine.com/your-pex-account /@@membership

  • I'd love to see one more field that would let the user sign up for one or more groups. I don't think I can tell by their name alone which group they should be in. We have groups for each grade level.

    Is there anyway for us to skip the export / import step. I'm thinking of a Yahoo group I have for the middle school. I just get an email when someone new joins. I can block someone if they obviously don't belong there.

    Thanks for your patience. Here are the answers to your questions...

    We don't have any immediate plans to change the sign in page to allow subscribers to select their group(s), but with the upcoming release (due out within a week or so), you'll be able to publish links so parents can register directly to the particular group.

    For example, on your school website (or something similar in a paper flyer that's sent home), you can have something like this where each of the links is a specific registration link for that teacher's classroom:

    Please sign up to receive important emails from your child's classroom by
    clicking the appropriate link below, filling out the information and clicking
    "Submit". If you have children in multiple classrooms, please register for
    each child separately. Thank you!

    • Mrs. Smith's 1st grade

    • Mr. Jones's 2nd grade

    • ...


    Also with our new release, you'll be able admit subscribers online, so there's won't be an export/import step. You'll have another tab on the Manage memberships, lists & permissions page to manage admissions, where you can select applicants and click to admit or deny them membership into the group.

    Lastly, we're planning to have email notifications for pending admissions in a future release.

    Can members sign themselves up using a form like the one where we enter a new member, including the various group options? We miss so much transferring handwritten signup forms and using a Google form and then transferring them is so cumbersome. I'd love to have an option to allow members to fill our their own forms and groups they want to join, then let an admin approve it.

    If you're using PTO Manager, then every time you select your recipients in PTO Manager and click Send, those recipients are automatically uploaded to your PEX account and become members there, so no need for your members to sign up again in PEX.
